RECONFIRM RESHARE SCREEN ON SPEAKER LAPTOP

SPEAKER HAS VIDEO/AUDIO CLIPS IN PRESENTATION
Even if speaker has already shared screen for laptop audio sound check, they may have stopped share and forgot to tick this again.

It may be a good idea to hang over shoulder, have them stop share an reshare and reverify the Optimize for Video clips / Share sound is checkboxed


  1. Click on Share Screen

  2. Select the Screen that is the SlideShow on the projector

  3. Check Optimize for video clip at the bottom of the Share dialog

  4. Share sound should autocheck by the above action but always verify.

  5. Click on Share button

Above: If speaker has video clips, when sharing their display they should click on Optimize for video clip

They wouldn't select Optimize for video clip so all is good

RECORD IN CAMERA | 15-30M TO SHOWTIME

Hit Record in Camera. Do this at a predictable time prior to start such as always at 30m prior to start

WIRELESS LAV ON SPEAKER | 10-15M TO SHOWTIME

It is not a bad idea to keep the wireless lav / handheld in the back of the room until when you're ready to mic up the speaker. This prevents awkwardness of fixing speaker's lav placement

  1. Turn down wireless lavalier on the audio mixer

  2. Inquire if speaker is going to change anything in clothing when start (such as taking off jacket) that may influence your lavalier placement

  3. Appropriately place wireless Lav on Speaker and/or ensure worn properly (on sternum). Turn on Lav but turn down for room only

Female speakers, depending on clothing style and optimal lav placement location, you are probably going to want them to place themselves

Pro tip - if you cannot place the lavalier as centered on the speaker's sternum and have to pick a side, make sure the angle the lavalier towards the speaker if they were facing dead center. Also place the lavalier on the side of the speaker that is closest to the screen in relation to the podium as the speaker is likely to turn head towards screen more than away from it (assuming they use podium partially)

REVERIFY ZOOM WORKSPACE / ZOOM & CAMERA RECORDING | 5-10m TO SHOWTIME

  1. Reverify that Zoom Workspace is Maximized

  2. Reverify that Zoom is recording (should be automatic) in the interface

  3. Reverify your camera is recording

START WEBINAR | 1-2 MINUTES PRIOR TO SCHEDULED START TIME

  1. Make sure your camera headphones are on

  2. Click on Start Webinar button at the top of Zoom. This will bring in all attendees into the webinar (they will show in the Participant Panel in the Attendees section). Attendees are in listen only mode and cannot speak nor turn on webcam.

  3. Do not change your Maximized Zoom Workspace from this point forth as it will impact the recording. All apps should be launched OVER Maximized Zoom window - do not minimize, do not resize Zoom interface.

  4. Post this canned message in Zoom Chat (change To: dropdown in Chat interface to Everyone): Hello all! I am the videographer for this webcast. Throughout today, please direct your questions for the speaker to the Q&A feature and your tech and other questions to here in the chat. If you do not receive a response from me in a reasonable amount of time in the Zoom chat, please reach out to our customer service team regarding this and they will be able to assist you. Their number is 1-800-844-8260 and their email is info@pesi.com.Thank you!

  5. Close the Pop Out Participant Panel as not really needed and less blocking interface. You can pop it based on want/need at any point.

VOLUNTEER / SPEAKER STARTS

  1. When volunteer begins chatting, go in for tighter shot where can see both speaker/volunteer while adjusting the audio yet neither walks out of frame.

  2. Once you have audio adjusted (obviously will adjust throughout) for room/camera - consider this framing where will adjust/change based on circumstances:

    1. Medium Full/Long Shot (knees up) the typical framing for when a speaker is roaming the room or heavily rocking back and forth in an area

    2. Medium Shot (hips up) when speaker is standing or lightly rocking back and forth or slightly moving around podium

    3. Tight Medium Shot (waist up) if the speaker is sitting on a stool / standing firm at podium. Make sure hand motions are fully captured and aren't cut off in framing
