EVENT ROOM LOCATION

Identify event room, tweak tech setup, run speed test

🕒 EST. TASK(S) DURATION 5-10 MINUTES

AV LANGUAGE

General AV language to be sent to venues by PESI. It is expected that the email sent to hotels will be sent to CE21 which in turn would be forwarded to the videographer as was normal process pre-Covid

EVENT ROOM LOCATION

EVENT ROOM LOCATION
Confirm the Event Room Name for Program Name. Go to the venue front desk to confirm event room name - give the person at the front desk the EXACT program name and The association may be having two or more concurrent programs so it's important to identify the program name

It is always desired that videographers show up in the event room 2 hours - 1 hour 45 minutes prior to the scheduled start time (on all event days) as "god knows what" issues may arise with live productions. Extra videographer time before a webcast should always be considered "insurance"

EVENT ROOM SETUP
At the event room, arrange your table on riser to your preference. If no 6' table is prearranged, "steal" a classroom table from the audience to not delay set up time. "Steal" a chair from the audience too.

Below is the typical desired setup where the tripod would be placed cranked up and in front of the riser (on the floor) so it doesn't wiggle. Don't bother with Tripod/Camera yet though (unless Ethernet/WiFi Internet is fully non-functional and hotel "working on it")

EVENT ROOM INTERNET

INTERNET

SPEED TEST
Go to Speedtest.net and run a speed test. When the speed test is complete enter the speed test (tachometer) button in Videographer Portal.

If your upload speed test results are below 5Mbps, you will uncheck HD in the Zoom Utility as instructed on the next page.

SMART PHONE
Plug in your smart phone to power strip and turn down ringer to vibrate only. It is recommended to have google chat/hangouts on your phone as the primary way to communicate with CE21 (Reid Stillings or Patrick Sanner)
