AM/PM BREAK (TYPICALLY 15 MINUTES)

A Note About Leaving Your Gear Alone: It is assumed you have expensive gear. While you can ask an attendee or speaker to "keep an eye on your gear" when going to get food - I would never rely on this for more than a few minutes at a time.

AM/PM BREAK PROCESS

  1. IMMEDIATELY UPON BREAK STARTING

    1. Go as wide as your camera will go on Camera Framing (Adjust camera exposure)

    2. Speaker should continue their Screen Share on SPEAKER LAPTOP during am/pm breaks (same as on projector in room)

    3. Turn down audio mixer levels for room/camera (which also turns down audio for the Zoom Webinar)

  2. TAKE A BATHROOM / COFFEE BREAK

  3. OTHER DUTIES

    1. Check Battery levels of wireless mic's to ensure nothing in danger (at least 2 bars. If single bar, swap out batteries for full bar batteries)

    2. ZOOM STUFF

      1. Check YOUR LAPTOP'S Zoom Chat for any comments that attendees may have questions with. Use canned responses to respond.

      2. Remind speaker on Q&A button in Zoom that they have access to on their speaker laptop as questions may have come in.

  4. AUDIO REVERIFY | 5 MINUTES BEFORE GOING LIVE

    1. Double check wireless lavalier placement on speaker's sternum or fixed mic (podium, tabletop mics e.g.) placement to confirm not changed from optimal placement

    2. Turn up audio mixer board and reverify solid clear audio levels around -6db loud peaks in camera audio meters. Be aware of open microphone (everything in your camera headphones is going to Zoom attendees)

  5. Reframe camera to speaker (change exposure) around when we're about 30s to starting again. Coordinate with speaker when going going to resume/speak again

LUNCH BREAK (TYPICALLY 1 HOUR 10 MINUTES)

LUNCH BREAK PROCESS

  1. IMMEDIATELY UPON BREAK STARTING

    1. Go as wide as your camera will go on Camera Framing (Adjust camera exposure)

    2. On YOUR LAPTOP in Zoom Share Screen > Advanced > Video > Share PESI Break Video (You will steal the screen share from the speaker)

    3. AUDIO STUFF

      1. Turn down audio mixer levels for room/camera (which also turns down audio for the Zoom Webinar)

      2. Collect Wireless Mics to bring back to your tech table

      3. Power wireless mics OFF

  2. TAKE A BATHROOM / LUNCH BREAK

  3. OTHER DUTIES

    1. Replace batteries in wireless mic’s and ensure FULL Bars for all wireless microphones! Keep the AM partially used batteries as backups.

    2. ZOOM STUFF

      1. Check YOUR LAPTOP'S Zoom Chat for any comments that attendees may have questions with. Use canned responses to respond.

      2. Remind speaker on Q&A button in Zoom that they have access to on their speaker laptop as questions may have come in.

  4. 5 MINUTES BEFORE BREAK IS SUPPOSED TO END

    1. ZOOM STUFF

      1. Stop share on PESI Break Video on YOUR LAPTOP

      2. Go to SPEAKER LAPTOP and have them click on Share Screen in Zoom. If they have video clips in their presentation after lunch, make absolutely sure they select Optimize for video clip, Share sound at the bottom of the share dialog and then share their screen that is projected.

      3. If Speaker is on MAC OS with video clips, be sure to Leave Computer Audio or verify Join Audio shows where Mute/Unmute button is
